Overview

The incumbent will support the Business Development & Management Supply Office. Activities will be in the area of General Management and Controlling and include;

  • Support to the processes related to the main resources of the organizational entity (i.e. budgets, manpower, staffing), including planning, execution and follow-up of the activities and resources
    (budgets, manpower, missions, recharges) of the Business Unit.
  • Support to the planning, preparation, execution and follow-up of activities and related procurement actions as relevant managed by the Business Unit and of associated progress in terms of output / schedule /
    resources.
  • Assessment and monitoring of the status of the procurement actions (using ESA Corporate and local IT Tools) including activity progress, maintenance of payment plans, correctness of financial charging, invoicing and payment.
  • Implementing all administrative actions related to procurement and contractual matters, including data entry in ESA Corporate (e.g. SAP) and local application as appropriate and monitoring of financial commitments and payment milestones, invoicing, etc.
  • Maintaining up to date the related data, performing data analysis, identifying deviations w.r.t. plans/targets and production of associated reports to the responsible management and to the concerned customers.
  • Assisting in the definition, preparation, implementation and maintenance of management support tools to ensure efficient execution of the related tasks.
  • Liaison with Contract, Budget and Payment Officers to ensure the coherence of the internal and external administrative data.
  • Contribution to the definition of new and improvement of existing related processes and tools and production of related documents.
  • Coordinate the work of the cost controller team in the Business Development and Management Support Office and liaise with administrators in the department to ensure coherence of the internal and external administrative data.
  • Coordinate implementation and operation of uniform procedures for the management and control of the Directorate’s budgets, ensuring proper coherence and quality of data.
  • Support the coordination and consolidation of Business Planning and Reporting Activities in the department, in particular for Investment Projects.
  • Provide expertise on Management Support Tools and continuous support to team trainings.
  • Provide support to other activities within the Office to ensure consistency and continuity, and to internal and external interfaces as required.

Specific qualification requirements

  • Applicants should have a Master’s degree or equivalent qualification in Business Administration/ Finance/Accounting and a solid working background in the disciplines related to the tasks described, with at least 4 years of relevant experience.
  • Knowledge of computer systems and information/ planning/ coordination tools (e.g. Esa-p, Microsoft Excel and Microsoft Project) is essential.
  • High level of initiate autonomy, and professional maturity is required to carry out complex tasks and with a high level of responsibility.
  • Proficient in the English language, both written and spoken; knowledge of another official ESA language is an asset.
  • Experience in controlling and/or management of activities and resources in aerospace industry.
  • Very good sense of contacts and communications, ability to interface at appropriate level with relevant actors within and outside of the Directorate.
  • Reliability, rigor and initiative in the execution of the assigned work.
  • Proactive attitude to solving problems, identify priority actions and to handle high workload.
  • Experience as user of SAP and in particular ECC and SRM modules and familiarity with relevant ESA corporate applications (e.g. ESA-p) is an asset.
  • Ability to rapidly understand and adapt to ESA specific context and environment including ESA corporate IT applications.
  • Experience in Facilities Management is desirable.

Legal and Security Requirements

  • All applicants must be legally allowed to work in The Netherlands
  • Applicants are required to provide a copy of their passport and degree certificate. Aurora will validate the Degree with the issuing University and provide evidence to ESA.
  • Prior to issuing a letter of employment the applicant shall provide to Aurora a recent official document declaring that they are of good conduct from the country where currently resident.

Location

The work will be performed at the European Space Technology and Research Centre (ESTEC) at Noordwijk, The Netherlands.

Contract

  • The selected candidate will receive good remuneration in line with ESA Job Class (M3).
  • Will be registered for both social security and tax in the Netherlands.
  • The standard working hours are 40 per week. There are 12 public holidays and an additional 30 annual days holiday.
